How NotiMate handles data
Updated 23 October 2026
This notice covers the website, enquiries and agreed processing of work information through messengers. Channels, access and processing arrangements are confirmed before a business is connected.
1. Operator and contact
NotiMate is a product of Aspan Works LLP, BIN 260940021959, Almaty, Kazakhstan. Service and data enquiries: aspanworks@inbox.ru. The operator determines purposes for enquiries and website security. For staff data, the parties’ roles and business instructions are set out in the agreement.
2. Information involved
Contacts and a description of your case; in a connected service, authorised work messages, photos, documents, sender identifiers, timestamps, extracted records and correction history. KZ WhatsApp/Telegram workflows may include Russian and Kazakh voice input. Scope depends on business configuration. Do not send passwords, payment-card details or unnecessary personal information.
3. Purposes
To answer enquiries, configure and provide the agreed service, review and save records, deliver alerts and summaries, secure the service and investigate errors. Applicable processing grounds and client instructions are agreed before live use.
4. Channels and providers
Depending on the setup, the service uses WhatsApp, Telegram or LINE, hosting, AI processing (including OpenAI) and, if agreed, external storage or exports (including Google Sheets/Workspace). Providers may process data in different countries. The data route, location, providers and transfer arrangements are agreed before real work data is sent. This page does not mean every channel is enabled for every client.
5. Access, retention and deletion
Access is restricted by company, role and assigned locations. A QR code or link alone does not unlock business data. Retention of originals, records, logs and backups, and return/deletion procedures are agreed before connection. Send access, correction, return or deletion requests to the contact address. Authority is verified before action; applicable limits, required retention and response timing are explained when handling the request.
6. Website preferences
Business country is stored locally in the browser; the page address sets the language. These preferences do not grant business-data access. No advertising tracker is connected in the site code. Links may carry campaign parameters and enquiry context. Hosting may retain technical access logs. This notice is updated before analytics is enabled.
7. Security and enquiries
Access controls and measures appropriate to risk are used. Absolute security is not guaranteed. Incidents are assessed and handled under applicable requirements and client arrangements. Contact the operator with questions or complaints. The messenger’s own policies apply when you visit it.
